Service Terms & Booking Information

These terms provide general information about Memory Stream Media’s booking process. Every event is governed by its written quote and signed client agreement. Submitting an inquiry does not reserve a date or create an agreement.

Quotes, Agreements and Booking

Event scope, venue, coverage time, operators, internet requirements, travel and requested deliverables are confirmed before the final quote.

The private client agreement must be accepted before payment is collected.

A 50% retainer is required to reserve the event date.

The event date is not reserved and a physical site survey is not scheduled until the agreement and retainer have been received.

The remaining balance is due on the day of the event.

Cancellation by the Customer

Cancellation requests must be received in writing. All cancellation periods are measured in calendar days and include weekends and public holidays.

If cancellation is received 30 calendar days or more before the event, 25% of the total booking price remains payable. When the standard 50% retainer has already been paid, Memory Stream Media will refund 25% of the total booking price.

If cancellation is received 15–29 calendar days before the event, 75% of the total booking price remains payable. When only the 50% retainer has been paid, the additional 25% remains due.

If cancellation is received 14 calendar days or fewer before the event, 100% of the total booking price remains payable.

Nothing in these terms limits any consumer right or remedy that cannot legally be waived under applicable law.

Rescheduling

Rescheduling requests must be submitted in writing.

Approval is subject to Memory Stream Media’s availability, existing bookings and operational feasibility.

Memory Stream Media may honour a new date when it does not conflict with another customer or create an unreasonable production conflict.

A new venue or material venue change may require another site survey, revised travel charges or an updated quote.

A rescheduled booking is not confirmed until Memory Stream Media approves it in writing.

Venue and Customer Responsibilities

The customer is responsible for:

Providing accurate event, venue and schedule information

Providing contact information for the venue representative and the person responsible for venue audio

Arranging sufficient venue access for setup, testing, production and teardown

Obtaining required permission to use the venue’s internet, audio equipment, power and approved camera locations

Obtaining recording or livestreaming permissions required by the venue or applicable law

Advising Memory Stream Media about venue restrictions or schedule changes

Helping arrange the physical site survey when required

Providing a safe and suitable portable-internet location when Starlink is required

Live-Service Limitations

Memory Stream Media uses advance planning, testing and reasonable backup measures to reduce technical risk. Livestreaming nevertheless depends on venue access, power, audio systems, internet connectivity and third-party platforms. If a material interruption occurs, any remedy will be assessed under the signed client agreement and applicable law based on the portion of the contracted service affected and whether a usable recording remains available.

Memory Stream Media may create contingency recordings during an event.

A contingency recording is not a promised customer deliverable unless the selected package or signed agreement includes it.

Individual camera recordings are internal production source files used for optional editing and are not client deliverables.

The Three-Camera package includes the unedited completed-program recording on USB.
