Memory Stream Media provides livestreaming and event recording services in Ontario. This notice explains how information is used when you contact us, book a service, or watch an event.
Inquiries and bookings
Our consultation form collects your name, email address, event type and message. Phone number, event date, location and consultation preferences help us plan with you. We use these details to respond, prepare a quote, arrange a consultation and provide the service you request. Please share only the information needed for your inquiry, and avoid medical details, identity documents or other sensitive personal information.
Website and email providers
Our website and inquiry form use Framer, and form submissions are delivered to our business Gmail inbox. We limit sharing with service providers to the information needed to handle your inquiry or deliver the booked service, including website hosting, email and third-party platform streaming. Providers may process information outside Canada and generate technical or security information, such as browser and network details. Their privacy notices explain their own processing.
Livestreams and local recordings
We use third-party platform as a third-party platform for livestream delivery and online replays. MSM also records video and audio locally on production devices for service delivery. Files may be transferred to our editing computer for optional post-event editing when purchased or agreed upon. Recordings can include participants, speakers, guests and information shared during the event. Before coverage, we work with the booking contact and venue to agree what will be recorded, how attendees will be informed and any requested filming restrictions. Please raise privacy concerns before the event whenever possible.
Viewing and sharing
third-party platform access depends on the privacy settings selected for the event. A link can be forwarded; link-only access does not guarantee that only invited people will watch. Password protection and guest-download settings can be discussed when booking. Please share event links, passwords and downloaded recordings only with the intended recipients. third-party platform may collect information when viewers use features such as guestbooks or reminders.
Recordings and retention
Online replay availability is confirmed with each booking and depends on the third-party platform plan and event settings. MSM retains local video and audio recordings for up to six months after the event unless a written client agreement states otherwise. Earlier deletion is available upon a verified client request when operationally and legally possible. third-party platform manages its own archives and backups; the end of replay availability does not necessarily mean every provider copy has been deleted. Please download and safely store your delivered recording. Inquiry and booking information is kept as needed to handle your request, deliver services and meet applicable recordkeeping obligations.
Your choices and questions
You can contact us to request access to or correction of your personal information, discuss withdrawal of consent, or ask about deleting information or removing an online recording. We may need to verify your identity and authority over an event. Some requests may be limited by legal obligations, other people’s rights, provider backup schedules or copies already downloaded by recipients. We will explain relevant limits when responding.
